I have been asked to photograph guests as they arrive at a formal event. Although I have no problem with TAKING the photos, I have never done this type of venue(, only one-on-one photo shoots), and I want to be as professional as possible. I have been offered photos, on a cruise, at parties, and events, but have never taken them up on the offer. Is it imperative that the photos be ready before the guests leave? Or could they be mailed or delivered? Is a plain envelope adequate packaging?

Maybe leave a visitors book by the door and ask peeps to leave an email address if they want a copy?

I would mail them to them. I would walk around the venue and just tell them to pose. Most people will. I’m assuming your camera is a digital SLR? So; after you take the picture; show it to them. Ask if they want a copy. If they don’t like that one; tell them you can take another.

Normally at any formal event that the host hires a photographer, the guest know that at some point in time they will get their pics taken. What you can do is take a bunch of your business cards and when you photograph someone hand them your card and let them know pics will be ready ?/?/08 and to call or email you a response for an order.. then if they like what they see then maybe when they have an event they will call you… Good Luck on all you do..

If you are not being prepaid to give each guest their photo, I would suggest setting up a free website/store at dot photo.com Print the website on plain paper using a label format at tell them they can see their pictures on line in 24 hours. You can set your own prices and Dot will print and mail them, sending you the profits.


On site printing at events need to be done with several printers “daisy chained”. It is time consuming and expensive. Burning CD’s in quantity is not an option on site without and expensive multi copy burner.If you are mailing, be sure those costs are covered. Buy your envelopes ahead of time and have the guests put their addresses in the right spot. Where the stamp will go, put the image number so you can match things up easily.

Having the prints before the guests leave would be best, but there’s nothing wrong with mailing them either. Just make sure the guests know when they’ll be getting them. A plain envelope is fine with a piece of cardboard in it so it wont bend. I have done venues b4 requiring the pics be ready right away, so I made sure I had an assistant with me to run my memory card out and print off the pics while the event was still in progress. I don’t have the laptop and high rnough quality printer to bring with me, but if you do I would suggest bringing it. There’s less confusion that way.

Do you use a Digital Camera? if so why not take your laptop computer to the event and lots of Blank CDs

After taking the Photos just burn as many Cds needed and hand to the guests as they leave,They could view on their computers.

Or for guests who do not have one , they can take the CD to a Camera shop for prints.

Either way…… Depends on your own set-up and, if you’d want to print them up during the event or not, with doing any touch up, color corrections, or cropping, if needed, on the spot, too. If mailing the photos to them, you might want to use photo envelopes to sell yourself as a professional for possible follow-up photoshoots in the future. You might want to insure them and/or use first class mail with delivery confirmation on them.


Either way, be sure to put the copyright symbol on the back of the photos so they can’t reproduce them without permission from you. You might even get additional orders by doing that additional step, along with including your own contact information stamped on the photo backs, too, along with using and giving them business cards with your contact info on them. Be sure to assign a number to each photo for any possible followup orders…. In the mail, you can also send them package deals for additional photo orders, too.
